Picnic Chairman, Belva Morrison, has reserved the closed shelter house for the September 13 picnic. We will set up tables at 2:00 p.m. and eat at 6:30 p.m. Michael Moore and Dennis Blaney will provide the cold beverages. Belva will provide coffee and be in charge of table service. Mike Cummins and Michael Moore will set up displays and Linda will take tee-shirts and charms to sell. Bob Hines will give a presentation on Museum Expansion ideas.
As of August 8, there are 253 active AAHS
members. This includes five new members since the last report. We have 60
inactive members (those who have not paid their renewal). ACQUISITIONS:
We have received a box of artifacts from Nancy
Topolosky (the widow of Doran Topolosky) relating to Doran (deceased).

The Bank Balance, as of 9-30-04 is $5,019.19. Bonnie Myers reported on the October 7 Trustee Meeting. (Copy of Trustee Meeting Minutes, Atch. #1) Item 9. Bob Hines presented his New Membership Challenge, as follows: "I will deposit $100 into the AAHS Legacy Endowment Fund for each bona fide new paid single membership, family membership, life or business membership in our organization, but we have to add at least 80 new members each year starting in 2005 for me to act. I will add $100 for each new member up to 100 members per year. I will commit to do that for up to ten years or up to $100,000."(Atch #2) It was agreed that there is a need for a membership committee. Publicity is needed. Michael Moore and Bonnie Myers will work on membership campaign strategy. The Trustees unanimously approved a raffle for a basket of candy donated by Rose Jamison and a box of Tupperware donated by Denice Rock. Proceeds will benefit museum expansion. TV Channel 5 needs updating. Bonnie Myers will hold a genealogy class at the Younkin Library at 6:30 on November 1. Everyone invited. It was recommended that we have programs at our regular monthly meetings. Bob Hines is working on the 2005 Newsletter and is soliciting input. eg. Teays River, Clyde Brinker, Unique/unforgettable characters, teachers who left a lasting impression, etc.

May 9, 2004 YOUNKIN LIBRARY Minutes recorded by Rose Jamison The May meeting of the Ashville Area Heritage Society met in the Younkin Library with Mike Cummins, President, presiding. Following the Pledge of Allegiance, Rose Jamison read the minutes of the April 12 meeting. Minutes were approved with three corrections as annotated on the minutes. The Treasurer's Report was given by Andy Hite. A copy of the April Bank Statement is attached to these minutes. Andy reported a current balance in the Treasury is $763.88. The report was approved. NEW BUSINESS Jack Lemon reported materials for making badges have been ordered. 250 plastic disks and two new knife blades. It was noted that Roger Southward, representing the Ashville Community Men's Club, ordered 250 shields. TRUSTEES Bonnie Myers reported on the May 6 Trustees Meeting. A copy of the Trustee Meeting Minutes is attached to these minutes. During the presentation, the following comments were made. Replica Traffic Light. Dan Truex and Robin Hood have both expressed an interest in making a light replica. No action will be taken until Dan Truex submits his offer. PAST PERFECT PROGRAM: Acquisitions are being entered in the system. MUSEUM HOUSEKEEPING POLICY: In the future, no eating and drinking will be permitted in the Museum. ACQUISITIONS: Two metal signs from the Ashville Coffee Shop. Pictures donated by Mary Ellen Hinkle. Ashville Elementary School pictures donated by Jim Irwin, from the estate of the late Ed Irwin, have been largely identified. USA TRANSITIONAL FLAG is now mounted on the rear wall of the Museum. President Cummins opened the meeting with the pledge of allegiance. Rose Jamison read the secretary's report. Approved. Andy Hite gave the treasurer's report. Approved. Balance $1389.25. (Copy of checking account attached to Secretary's minutes) NEW BUSINESS: TRUSTEES REPORT (BONNIE MYERS): Placement of bells: Nothing should be erected outside the museum until future expansion plans are finalized. Placement of Railroad Signal: Bob Hines expressed his desire that the Railroad Signal be traded to the Ashville Community Men's Club in exchange for the Wig-Wag they have. Noted: Expansion Committee hopes to meet before the May AAHS meeting. Traffic Light - Replica: Robin Hood (The Tin Man) has not replied to phone calls as of this date. It was the general consensus of those present that it is too late to get a replica made by July 4; therefore, it is probable that the real light will have to be used. Museum volunteers will attempt to accompany the light as it is moved from the museum to the village park, to minimize the possibility of damage in transit. Mannequin Making. Bonnie continues to work on getting a lady to come to the Museum to teach mannequin making. Purchase of Digital Package: This has not been ordered. USA Transitional Flag. Flag will be displayed on East rear wall of museum. Ashville Graduation Class Pictures. President Cummins read a letter from Pat Southward, President of the Ashville-Harrison High School Alumni Association, which requests class pictures so they can be placed on permanent display at the new Ashville Elementary School. After discussion, it was agreed that the Alumni Association would be permitted to make copies of the pictures, but the majority opinion was that the original pictures should be retained by the AAHS and kept in the Museum. President Cummins will work with Mrs. Southward and, hopefully, reach a solution that will be satisfactory to both parties. It was suggested that a formal procedure be established for negotiating the loan/return of acquisitioned museum items to preclude the possibility of a misunderstanding. Constitution status/review: Kendra Sherman will give a report at the May meeting. Fund Raisers: Bonnie Myers volunteered to donate a quilt to raffle. Kendra Sherman was asked to find out if a raffle permit is required. President Cummins is working on organizing a fund raiser committee. Insurance: A qualified auctioneer will be asked to work up an appraisal of museum contents for insurance purposes. ACQUISITIONS: The World War II army uniform and bugle of George Burns donated by Linda Burns. Proof Press from the Hinkle Printing Shop donated by Mary Ellen Hinkle. It is hoped the press can be restored to printing capability. School bell from the old Ashville School at corner of Long and Madison Streets. Donated by the Hinkle family. Membership: Some members are delinquent in their dues. Dennis Blaney will give them a reminder phone call. Bob Hines would like to see a membership drive ad 'more members mean more funds'. Museum Yard Work. Yard has been cleaned and mulched. Tree removed. Thanks to Shirley Marion, Linda Burns, Michael Moore and other volunteers who assisted. AAHS Officers-Village Officials Meeting. Mike Cummins is working on setting up a meeting time. Cemetery Record Books. Approval was given to purchase current edition(s) from the Pickaway County Historical Society. Bonnie Myers will check with the Soldiers' Monumental Association in an effort to obtain cemetery information of interest to the AAHS. Genealogy. Genealogical information of any family in the Ashville area will be accepted by the Ashville Small Town Museum. Linda Burns reported on the March 13 seminar in London, Ohio Historical Society. Some topics covered included fund raising, safety in facilities, and grant writing. Linda noted museums seem to have two problems in common: lack of space and money. Minutes approved. Andy Hite gave the Treasurer's Report. (Report attached) Bonnie Myers gave a comprehensive report on items discussed by the Trustees at their March 4 meeting. A copy of their Minutes is attached. President Cummins thanked the Trustees for their work and their support. Bonnie thanked the volunteers who are doing a super job in the museum. Bonnie noted that Barbara (Smith) Thompson (Mrs. Roy) is looking for a 1948 Walnut High School Annual. 2004 PICNIC AND CHRISTMAS PARTY Belva Lou Morrison agreed to chair the 2004 summer picnic and the Christmas party. USA TRANSITIONAL FLAG Linda Burns questioned the wisdom of loaning the actual USA Transitional Flag due to the possibility it may become damaged or lost. A discussion followed. No action taken. FEBRUARY 9, 2004 YOUNKIN LIBRARY Minutes recorded by Belva Lou Morrison Present: Mike Cummins, Michael Moore, Dorothy Cormany, Art Deal, Charles Cordle, Ralph Hite, Bob Mabe, Andrew Hite, Belva Lou Morrison President Cummins led the Pledge of Allegiance. Minutes of the January meeting were read by Belva Lou Morrison in absence of Rose Jamison. Minutes approved as read. President Cummins reported that the AAHS by-laws provide for committees. Volunteers are needed for those committees already established, and several committees are yet to be formed. These include, but are not limited to:

*Membership: Michael Moore reported there are 199 members, 83 of whom have not paid their current dues. Michael also explained the new software program. It will allow listing of artifacts, membership and many other things. Inventory is being input at the present. Trustees approved support for software at a cost of $299.00. OLD BUSINESS President Cummins said the flag is still at the Adena Visitor Center in Chillicothe. It will be returned to the Museum March 5. President Cummins reported that as the Historical Society picked the flag up here, it will be returned by them. The flag case is made of Buckeye Wood. Special glass will prevent sun rays from damaging the flag. The easel is in the museum. The mayor of Ashville has given the o.k. to put a replica of the traffic light up for the 4th of July. Bob Hines is talking with three companies about making this replica. The Circleville VFW has presented Ashville Museum two checks, one for $5,000 and one for $10,000. A press release is being prepared. The agreement is terminated and cannot be renewed, due to new rules given the VFW by the Columbus Headquarters. President Cummins has asked Attorney Kendra Sherman to review the AAHS By-Laws to see if they are proper and adequate. Any changes she might suggest will be made at the March meeting. President Cummins said he has located all the AAHS meeting minutes except for the years 1994 to 2003. He has the minutes from 1978 to 1994. A lady stopped in the museum to ask about our support for Officer Phil Safety Child Program. It was generally felt this should go through the Mayor's Office. President Cummins noted the information he has on this subject is on the Mayor's letterhead. It was decided that this matter should be decided by the trustees. President Cummins will take care of this item. The Treasurer's Report was given at this time. Approved. President Cummins said he was happy about the report that he had given to a reported from the Circleville Herald and noted that the reported quoted him accurately. News Letter is ready for mailing. It includes a membership survey. Trustees are investigating the possible purchase of the old Brown John Deere building on West Main Street as a new home for the Ohio Small Town Museum. It was noted that the AAHS needs to develop a vision for the future. Michael Moore moved the meeting be adjourned. Seconded by Charles Cordle. Motion carried. JANUARY 12, 2004 YOUNKIN LIBRARY Minutes recorded by Rose Jamison The January 12 meeting was held in the community room of the Younkin Branch Library at 7:30 p.m. President, Mike Cummins, led the assembly in saying the Pledge of Allegiance. Rose Jamison read the minutes of the November 2003 and the December meeting. There was only a short, informal meeting in December due to the Christmas Party.) Minutes were approved as read. Andy Hite gave the Treasurer's Report. December 31, 2003: Checking Balance $5241.59 and Savings Balance, $37,398.88. Museum Report: Bonnie Myers thanked the regular volunteers and others who provided additional help at the museum while she was visiting family over the holidays. She stressed the need for additional volunteers, even one hour at a time. To volunteer, simply stop in the museum and sign up on the volunteer calendar. The Hinkle family has donated the bell from the old school house on Long Street (now the Hinkle Apartments). Volunteers are needed to transport the bell to the museum. President Cummins expressed the AAHS's thanks to the Hinkle family. President Cummins announced the AAHS has received a portion of the $18,000 pledge to the Ohio Small Town Museum by VFW Post #3331 in Circleville. The AAHS Trustees will discuss this subject at their January 15 meeting. The Ashville traffic light has been restored by Max Marion and is again displayed in the Ashville Small Town Museum. A round of applause was given for the beautiful job Max did. The secretary was instructed to send Max a letter of appreciation. President Cummins will contact Bob Hines about the status of the light replica. A draft copy of the new Newsletter was distributed to those in attendance. The Trustees are finalizing a membership survey to be included in the Newsletter. It was suggested that the Newsletter contain a 'dues reminder'. Also, it was suggested dues run from Jan 1 to Dec 31 of each year. Kendra Sherman volunteered to supply refreshments for the February meeting, as Eleanore Chandler will be gone. Noted: Dr. Diana Blaney is one of the primary scientists receiving data from the current Mars exploration project. Diana is the daughter of Dennis and Carol Blaney. According to a report from Bob Hines, the USA Transitional Flag should be returned to the AAHS in March. President Cummins will attempt to find the current location of the flag and report at the next meeting. President Cummins appointed Dennis Blaney and Michael Moore to audit the AAHS books. JAMISON Secretary AAHS NO DECEMBER MINUTES DUE TO CHRISTMAS PARTY NOVEMBER 10, 2003 YOUNKIN LIBRARY Minutes recorded by Rose Jamison The Ashville Area Heritage Society meeting was held in the Younkin Library, November 10, 2003, at 7:30 p.m. with the following members present: Tom Zwayer, Rose Jamison, Andy Hite, Ralph Hite, Michael Moore, Bonnie Myers, Charles Morrison, Charles Cordle, Jack Lemon, Eleanore Chandler, Bob Hines, Lou Deal, Belva Lou Morrison, Arlene Fortner, Michael Cummins, Herb Seymour The meeting opened with the Pledge of Allegiance led by President, Tom Zwayer. Wes Henson gave a short personal biography and told about the book he has written, entitled, "Invasion", a copy of which he has donated to the AAHS. Wes is a 1978 graduate of Teays Valley High School. Rose Jamison read the minutes of the October 13, 2003 meeting. Motion by Arlene Fortner, Second by Eleanore Chandler to approve as read. Motion carried. Andy Hite gave the Treasurer's Report. Balance as of October 31, 2003 is $4,617.79 (Report Attached). Motion by Mike Cummins, second by Jack Lemon to accept the report. Motion carried. REPORTS TRAFFIC LIGHT - Mike Cummins Restoration is complete and light is expected to be returned to the museum immediately. Lou Deal moved to direct the secretary to send a note of thanks to Max Marion. Included in the motion was an authorization to pay for Max and Shirley's meal with AAHS funds. Seconded by Andy Hite. Motion Carried. MUSEUM ACTIVITY - Bonnie Myers Bonnie expressed her thanks for being welcomed to the museum volunteer staff. She is working with Charlie and Jack to inventory everything in the museum, indicating what the item is, where it came from and what it might be worth. A floor plan was devised. An acquisitions notebook has been started, for incoming items, and a volunteer sign-up program. The outside of the building has been painted. At the TV high school near the front entrance are three wall-mounted glass cases, one for each former high school, (Ashville, Scioto, Walnut). Mr. Jeff Sheets wants these schools to be kept 'alive' by displaying artifacts from years gone by. Volunteers are needed to change the Ashville School display on a regular rotation. Charlie Morrison and Jack Lemon did the first one. It is old Ashville basketball uniforms and team pictures. Michael Moore and Rose Jamison volunteered to change the display in November. USA TRANSITIONAL FLAG is on display at the Adena Education Center, Adena, Ohio through November 16. Although the flag will continue to be in the possession of the Ohio Historical Society, its next display location is unknown at this time. It was suggested that a handout be prepared for the OHS to be passed out at the next display site. GENEOLOGY. Genealogical items are filed together. Donations of area families' genealogical information are wanted. ALUMNI LIST - Computer entries. Mike Cummins is working on Ashville, Scioto and Walnut. Ashville is done and Mike hopes to get Walnut and Scioto entered in the near future. MUSEUM - EVENING HOURS. Mike Cummins has volunteered to open the museum the first and third Wednesdays from 7:30 p.m. to 9:00 p.m. Volunteers are requested for the second and fourth Wednesdays. VFW#3331 INSTANT BINGO PROCEEDS - AAHS trustees will meet November 19 to discuss strategy prior to setting up a meeting with VFW #3331 officials regarding the contract. A GUIDE TO OHIO SMALL TOWN MUSEUM (2004 Collection Documentation) A Surprising Cornucopia of Memorabilia from a Self-Reliant Rural Community. Bob Hines is photographing museum panels and artifacts for this document. The guide will be used as a volunteer training tool. FOLDING CHAIRS. AAHS trustees directed that two of the (former Ashville Jaycees) folding chairs be retained by the museum and the balance given to the Ashville Men's Community Club. AAHS NEWSLETTER. Bob Hines needs articles about new acquisitions, personal stories, buildings/structures, etc. It was noted that some Teays Valley High School seniors are doing research at the museum and might be a source of a story/stories. CHRISTMAS PARTY - The location will be the grade school cafeteria. The date, December 8, at 6:30 p.m. Buffet style. Two meats were selected: chicken and roast beef. Belva Morrison will finalize the menu and report back to the President and the Secretary. The cost: $12.00 per person (including gratuity). The caterer: Virginia Sony, The Iron Horse Café (formerly Wamplers on Rt. 23.) Deadline for PAID RESERVATIONS is December 1. COMPUTER SOFTWARE - Michael Moore and Mike Cummins are working on obtaining the necessary software programs for the museum. CLERICAL/OFFICE SUPPLIES - Bob Mabe has volunteered to sell the AAHS office supplies at cost. AAHS LETTERHEAD. The need for a supply of letterhead was discussed. (Thank you letters, membership letters, official correspondence, etc.) Bonnie Myers has prepared one which can be printed on the museum computer. Jamison Secretary OCTOBER 13, 2003 YOUNKIN LIBRARY Minutes recorded by Rose Jamison The Ashville Area Heritage Society meeting was held in the Younkin Library, October 13, 2003, at 7:30 p.m. with the following members present: Tom Zwayer, Rose Jamison, Andy Hite, Ralph Hite, Michael Moore, Bonnie Myers, Charles Morrison, Charles Cordle, Jack Lemon, Dennis Blaney, Eleanore Chandler, Bob Hines, Kendra and Brent Sherman, Dorothy Cormany, Lou Deal and Mary Ellen Hinkle. President Zwayer called the meeting to order by leading us in the Pledge of Allegiance to the flag. MINUTES. There being no meeting in September, except for the picnic, the minutes of the August meeting were read. Corrections to the minutes were as follows: Ashville Flags. The price should have read $35 reduced to $30 and not $50 reduced to $35. USA Transitional Flag. Bob Hines clarified the subject of insurance. Nothing definite was decided at the August meeting. Motion to approve the minutes as corrected by Dennis Blaney. Seconded by Charles Cordle. Motion carried. TREASURER'S REPORT was given by Andy Hite. Bank Balance as of September 30, 2003 - $4,940.82. (Statement attached) Motion to accept report by Eleanore Chandler, seconded by Jack Lemon. Motion carried. OLD BUSINESS USA TRANSITIONAL FLAG. Bob Hines reported that Bill Mahan, OHS, will schedule a time to pick up the flag and take it to Adena where he will set it up for display. Bob suggested a pick up date of October 16. Bob will alert the museum when the pickup will take place. A press release will be mailed along with a mini USA Transitional Flag to each of Ohio's 88 counties (newspapers) as soon as the Adena flag display is set up and ready for public viewing. Lou Deal was requested to order 100 additional mini USA Transitional flags (without staffs) for this purpose. ASHVILLE TRAFFIC LIGHT is in a safe place at the Pickaway County Airport in Max Marion's possession. Max is working on repairs as time permits. Jack Lemon commented on the urgency of its being returned to the museum, as visitors are always asking to see it. A discussion followed on the necessity of obtaining a metal replica of the light to be used in place of the original light at the 4th of July celebration at the park, thus permitting the original light to be kept safely in the museum. Bob Hines will investigate how a replica can be obtained. ASHVILLE SMALL TOWN MUSEUM WEBSITE. A separate website for the Ashville museum 'ohiosmalltownmuseum.org' will be set up by Michael Moore. Charles Cordle reported that 245 Teays Valley Middle School eighth graders were given tours of the museum last week. VFW POST 3331 INSTANT BINGO PROCEEDS. Bob Hines reviewed the purpose of the contract between Circleville VFW Post #3331 and AAHS. He explained that the VFW proposes to terminate the contract. (See attached drafted reply.) ELECTION OF OFFICERS: Charlie Morrison, Rose Jamison, and Charles Cordle, Chairman, were appointed to a nominating committee. Election of officers will be held at the November meeting. President Zwayer requested that it be determined if any new trustees are required, due to rotation. CHRISTMAS PARTY - DECEMBER 8. President Zwayer will find a location and a caterer. NEWSLETTER. President Tom Zwayer called the meeting to order. He led the assembly in saying the Pledge of Allegiance to the American flag. Secretary Pro Tem, Belva Lou Morrison, read the minutes of the July meeting. Motion to approve: Eleanore Chandler. Second: Arlene Fortner. Motion carried. Andy Hite gave the Treasurer's Report. Balance: $4941.18 (A copy of the July checking account statement is attached) It was noted the trustees did not have a meeting prior to the August 11 AAHS meeting. NEW BUSINESS Transitional Flag: Insurance on flag: 35 cents per $1000.00. Flag is appraised at $24,000 (market value) Insure for $25,000. Bob Hines has been communicating with Ohio Historical Society via internet regarding their displaying the flag. They want to keep it six months. Bob has not received an answer as to when they want it. Post cards: A new supply has been purchased for the museum. Ashville Flags: Lou Deal noted the village paid $50 for the Ashville flags. Subsequently, the price was reduced to $35. She recommended the village be given three sets of the small flags. Bob Hines made a motion to act on her recommendation. Andy Hite seconded the motion. Motion carried. Picnic: Picnic will be September 8, 6:30 p.m. at the closed shelterhouse in the Village Park. Guests should bring own eating utensils, drinking cups and a covered dish. AAHS will provide beverage. Advertising: Jack Lemon suggested members present be given names of absent members so they can be called and invited to the picnic. Andy Hite will provide names and phone numbers of people to call. We will check about placing information about picnic on signboard downtown. Tom Zwayer will see about arranging a tour of the new elementary school at 7:30 p.m. following the 6:30 picnic. (NOTE: This has been confirmed. 8-17-03) Worthington Ohio had a bi-centennial celebration and Brian Clarkwaite saw a picture of Tom Zwayer with the transitional flag. Brian wrote a play around it. The mother in the play gave her son a copy of the flag at the end of the first act. Bob Hines had pictures, a program and information regarding this. It was held in the Thomas Worthington Cardinal Theater. Bob Hines is replacing the current displays at the South Bloomfield Wendy's. The three new ones will be on (1) the transitional flag (2) the museum and (3) articles written about the museum that have appeared in various magazines. Treasurer, Andy Hite, had a bill for Boy Scout Troop #159 for an Ashville flag. A motion to not charge for the flag, but to give it to Troop #159 was made by Charlie Morrison. Seconded by Bob Hines. The secretary's and treasurer's reports were approved as given. OLD BUSINESS: Insurance Bob Hines presented information concerning insurance on the contents of the museum and the flag. (A self-explanatory copy of this information is attached to the May 12 minutes.) A motion to authorize a $200.00 expenditure for a vexillologist's appraisal of the flag was made by Shannon Bumgarner and seconded by Dennis Blaney. Motion carried. Bob Hines will proceed with this project and report back to the trustees. Mike Cummins will look further into obtaining preservative (protective) type glass for the flag case. Traffic Light Damage It was noted the traffic light has sustained considerable damage while being transferred from point to point (from the Museum to and from the Ashville Village Park) and is in need of expert repair. Mike Cummins will contact Max Marion and ask him to repair it. Ashville Bronco Days Shannon Bumgarner passed out invitations to the May 3 Ashville (School) "Bronco Days" and requested the event be promoted. Museum: Eleanore Chandler volunteered to supply a large calendar on which important information, e.g. visitors, events, etc. can be noted. Much work needs to be done at the museum; e.g. bushes need trimming, exit signs need to be installed, etc. Mike Cummins will obtain written order from the village stating the village will pay for the installation of the exit signs. NEW BUSINESS On behalf of the Ashville Women's Civic Club, Carol Ramsay requested permission to use the AAHS's wagon for the 4th of July parades. This request was denied, on the grounds that the museum will be using the wagon. Jack Lemon will assume charge of wagon rides for the 4th of July celebration. Various items will be available to sell at the 4th of July celebration. These will include but not be limited to tee shirts, ball caps, possibly Ashville flags, etc. Lou Deal will handle the ordering of these items. Andy Hite made a motion which was seconded by Shannon Bumgarner to authorize Lou Deal to order 25 Ashville flags IF the Ashville Area Heritage Society's cost is $30.00 or less. Bob Hines was authorized to order eight copies of "Ohio Oddities" by travel writer and humorist, Neil Zurcher. These will be on display and for sale at the Museum. The book features our traffic light on the front cover and Chic-Chic on the back cover. Dennis Blaney made a motion to have Shannon Bumgarner present Marcia Schoenberg, author of "B" IS FOR BUCKEYE", with a replica of the Ohio Transitional Flag. Bob Hines seconded the motion. He led the gathering in Pledge of Allegiance to the flag of the United States of America. SECRETARY'S REPORT The minutes of the February 10, 2003 meeting were accepted with the following corrections: 1. Where reference is made to "Charles D. Morrison, Jr." it should read: "Charlie Dean Morrison". 2. The small copier belongs to Charles W. Morrison 3. Mr. Andy Hite, Treasurer, noted that the AAHS Constitution does not provide for an Assistant Treasurer. 4. Under TREASURER'S REPORT: Mr. Hite noted "in the AAHS checking account" should be added to: "balance as of January 31, 2003, $3507.92". TREASURER'S REPORT: Balance in AAHS Checking Account: $4885.09. Report accepted. OLD BUSINESS: Mr. Zwayer noted four stanchions have been donated to the museum. Pat Green donated rope to attach to stanchions to keep viewers at a distance to prevent flag from getting knocked over. Mr. Zwayer will send Thank You notes to donors. NEW BUSINESS Mr. Zwayer will appoint a Collections Committee to oversee what items might be accepted by the museum. The Board of Directors will have the final say. Rhonda Morrison suggested the Museum should accept at least one item from each of the schools scheduled for demolition. No further changes or major implementations at the museum will be made (now or in the future) without prior approval of the Board of Directors. Barbara Carder volunteered to speak to Cub Scout Pack #542, Washington Township Elementary, at their Blue and Gold Banquet, March 24, and give the history of the mystery flag. In response to Mr. Hite's query about completing the electrical work at the museum, Mr. Zwayer replied that he wants a written agreement from the Village stating they will pay for the work prior to the work being done. Mr. Herb Seymour volunteered to speak to the Teays Valley Middle School about our Ashville Heritage, on April 24. This is in connection with the Ohio Bi-Centennial. Mr. Zwayer reported the Buckeye Tree wood was delivered to Kevin Foster February 4. The Board approved reimbursement to Mr. Foster for the plywood backing in the amount of $49.26. Mr. Zwayer explained sketches of the case design. He requested freedom to use money we have received from the Picway Plant of AEP employees for miscellaneous materials to be used in constructing the flag case. Motion by Barbara Carder, seconded by Bob Hines to allow Mr. Zwayer to use approximately $60.00 of the AEP donations for the flag project. Motion carried. The members present approved Mr. Zwayer's plan to spend money on plaques honoring donors, etc. and later, a written history of the flag to be included with the display, e.g. a copy of the Chillicothe Gazette article by Barbara Carder. Mr. Zwayer desires the first commemorative replica flag be presented to Brian Meyers. Mr. Zwayer will adapt a stepladder into an easel on which to display the flag. This top-of-the-line five-foot stepladder is being sold to the AAHS by the Ashville Hardware below cost. The Ashville Hardware will sell brass hardware at cost, including a 48" long piano hinge and hasp set with padlock. Mr. Zwayer will construct the 'stepladder/easel to be broken down for easy carrying. Sue Toole has donated fabric which will entirely cover the 'easel' for aesthetic purposes. Mr. Zwayer has received an official invitation from Terry A. Whetstone, 4315 Cedar Hills Ave., Springfield, OH 45504, President, Ohio Society of the Sons of the American Revolution (SSAR), chartered 1889. Ph: 937-324-5841 (tawhetstone@donet.com, to display the "Mystery Flag' as the centerpiece of the Hubb Scott Collection, March 1 and 2 at the Trinity UMC in Chillicothe. The transitional flag display will be set up on February 28. We have permission to set up a table and sell replicas of the flag. Volunteer parking will be permitted behind the church. Mr. Zwayer is preparing a list of volunteers to guard the flag during the display. A volunteers' meeting will be held prior to March 1. Mr. Tony Robinson has arranged for the 'Mystery Flag' to be protected by a wooden railing to prevent easy accessibility by the public. The flag manufacturer has assured Mr. Deal the entire one-hundred replica flags will arrive in plenty of time for the March 1-2 showing. He said the manufacturer is so excited, he will make twenty flags immediately, once he receives approval from the AAHS. He will leave the poly bag unsealed so a summary of the flag's history can be inserted. The manufacturer's cost to the AAHS is $25.00. The flags will be sold for $40.00 plus $7.00 shipping and handling. A motion was made by Jack Lemon, seconded by Charles Cordle to allot up to $75.00 in the petty cash fund to temporarily cover any interim shipping and handling charges. Mr. Zwayer would very much like to have mini-replicas to sell. Mr. Deal seemed confident that this would be impossible, but will check with Dynamic Sales in Circleville on their availability. FLAG TO BE PRESENTED TO OHIO GENERAL ASSEMBLY Mr. Zwayer and Mr. Hines reported that a replica of the 17-star transitional USA flag, the center star honoring Ohio, will be presented to the Ohio General Assembly (GA) at its March 1 meeting. The GA will meet in Chillicothe as part of the statehood celebration. The flag will then be displayed during the GA Session. Mr. John Carey, State Senator for Ashville, is working out final details with the joint session leadership. WELCOMING THE 'MYSTERY FLAG' TO THE MUSEUM Relative to placing the Mystery Flag in the Ashville Museum, Bob Hines suggests the entire museum should be made clutter-free so as to be more accessible and friendly to large groups. He prepared a list of things to be done and scheduled a work day for this purpose on Saturday, February 15, at 9:30 a.m. and invited all who could, to come and help. ATCH #3 NEWS LETTER Mr. Hines reported the News Letter is printed and at the Museum ready for mailing. Barbara Carder will obtain mailing envelopes and address labels. Volunteers will meet at the Younkin Library Feb 12, 7:00 p.m. to stuff envelopes. LOG HOUSE. Jack Lemon received a call from Marie, the daughter of the owner. The log house will be sold if the AAHS does not take it. Mr. Hines stated when a building is moved from its historical site, it no longer has any historical value. NEW BUSINESS MEMBERSHIP COMMITTEE. Mr. Zwayer and Mr. Hines stressed the need for a Membership Committee to set up a table in a prominent downtown location and solicit AAHS memberships. Mr. Hines noted that it is not the money, but the involvement of people, which is our primary goal. COPIER(S). Lou Deal and Charles Cordle were appointed to perform an audit of the financial books. It was noted that election of officers should be held in December with officers taking office in January. A meeting was scheduled for January 14, 1 P.M. at the Younkin Library. Refreshment coordinators for AAHS meetings are Annabell Hines and Eleanore Chandler. Mr. Zwayer read a letter from Mr. Warren Jeffers, Senior Coordinator, AEP, Picway Plant. ""Thanks for the news article. It is truly amazing that this flag was found and ended up in the care of the museum. We are proud to aid in helping to display this piece of history. I have contacted the corporate communication group and they are designing a 2 X 4 label to go on the side of the display case. I will keep in touch with you on this." Annabell Hines sent a thank you letter for the first $200 received from the employees at the plant and will send another letter for the extra $200. Susan Toole has offered to donate all the flag mounting supplies. Mr. Zwayer describe, in detail, the procedure for protecting the mounted flag. The possibility of the case being made from an Ohio-grown tree, e.g. a Buckeye tree, was suggested. Another possibility was to use a log from the old log structure in Millport. Mr. Zwayer reported he called the Dale W. Riddle Forest Products, Inc. - Timberwolf Specialty Hardwoods Inc. in Laureville and spoke with Richard Durst about locating and donating a milled, ready-to-use Buckeye tree for the flag case. Mr. Durst agreed. Art Deal suggested that a "special care" cleaning tag should be attached to prevent damage to the case. On March 1 and 2, the mystery flag will be the centerpiece of the Hubb Scott flag collection to be displayed in Chillicothe to commemorate Ohio Statehood Day, as part of Ohio's Bicentennial celebration. T Tony Robinson, President of the local Chapter of the Sons of American Revolution (SSAR) will send AAHS a formal invitation to participate in the Hubb Scott Historical Flag Collection. Bob Hines led a discussion of the forthcoming AAHS Newsletter. NEW BUSINESS: Mr. Zwayer would like replicas of the flag to be available for sale on March 1 and 2 at Chillicothe. Art Deal will obtain pricing information and begin the process of ordering 3' by 5' replicas of the mystery flag. Charles Morrison reported that Roger delivered fifteen display frames to Bob Hines. The cost of the lumber was $200.00. Two cabinetmakers were named as possible builders of the flag case. Lou Deal reported a Dirt Devil vacuum sweeper was purchased at WalMart. The December AAHS meeting was held at the Power Company Restaurant in Ashville. At 6:30 p.m., December 9, approximately sixty members and guests enjoyed a lovely sit-down dinner. We were served our choice of fish, chopped steak or pork chops.
Thanks to Annabell Hines, Charlie Morrison and the museum staff for arranging the dinner meeting. Thanks to R. D. and Staci Roese, Adventure Limousines, for bringing eight of us senior citizens to the dinner in one of their limos.
Following dinner, Tom Zwayer conducted the business meeting in the absence of President, Charlie Morrison, Jr., who arrived later.

U.S. Historic Flag
Tom presented a bill for $26.36 from Textile Preservation Associates, Inc., P.O. Box 60, Keedysville, Maryland, 21756, dated 9-3-02. This was for shipping charges for the return of the USA flag via Fed Ex Std. Overnight. Invoice FEIN 31-1196644 A motion was made by Mona Morrison and seconded by Barbara Carder pay this bill. Motion carried. (NOTE: Rose Jamison later forwarded this bill to Andy Hite, Treasurer, via U.S. MAIL).
Vice-President Zwayer asked for a round of applause for the nice article about our historic flag written by AAHS member and free lance writer, Barbara Carder. The article appeared in the Circleville Herald. Barbara plans to submit a story to the Chillicothe Gazette and/or the Columbus Dispatch.
Bob Hines thanked Tom for the many hours of research he put into this flag project. The guests responded with a round of applause. .
OHIO'S BI-CENTENNIAL CELEBRATION
On March first and second, 2003, during Ohio's Statehood Days, old city buildings will be open in Chillicothe, the first capital of the state of Ohio. AAHS has been invited to display our historic flag along with the Herb Scott collection ( housed in Dayton) on Paint Street in Chillicothe.
A possibility exists that following the display in Chillicothe, the flag may be displayed in the State Capitol Building rotunda until the end of the bi-centennial.
Security is a legitimate concern. A suitable security case in which to display the flag must be constructed. Tom suggested a sturdy, clear, two-sided protective case so the flag can be viewed from either side.
The estimated cost of such a display case is $500.00. Likely persons to build such a case are Paul Welsh, Ken Starkey and Bob Hines
Mr. Warren A. Jeffers, Senior Coordinator, Picway Plant, American Electric Power presented a check in the amount of $200.00 toward the cost of the construction.
A motion was made by Barbara Carder, and seconded by Lou Deal to approve the spending of up to an additional $300.00 for the construction costs. Motion carried. (NOTE: Bob Hines advised the undersigned that the Employees of the Picway Plant sent an additional $200.00 the following day).
Art Deal noted that the museum needs a new vacuum cleaner. After a very brief discussion, a basket was passed and $104.00 was collected to be put toward the purchase price.
Larry Toole expressed the appreciation of the AAHS to Darryl Ward and his son, Steven, Marty King, John Deere Company, the Citizens Bank and Dave Rainey for all they did in providing shuttle rides during Ashville's village open house, December 8.
